Applications are hereby invited from suitably qualified employees of the Ministry of Local Government & Traditional Affairs for the below-mentioned position, tenable at Letlhakeng District Council.
POSITION
Assistant Administration Officer
SALARY SCALE
B1 (P91,608.00 – P108,228.00) per annum
LEAVE ENTITLEMENT
20 working days per annum
QUALIFICATIONS
Applicants must possess a Certificate in Public Administration or a related field from a recognized institution.
EXPERIENCE
Candidates should meet one of the following experience requirements:
A minimum of two (2) years satisfactory service as a Senior Administration Assistant within the Ministry of Local Government & Traditional Affairs or a related institution;
OR
Direct entry applicants must possess a Certificate in Public Administration or related field, coupled with at least two (2) years relevant work experience in an administrative or office management environment.
BENEFITS

Contributory Pension Fund: The Government contributes 15% and the employee contributes 5%.

MAIN PURPOSE OF THE JOB
The Assistant Administration Officer is responsible for providing comprehensive administrative support to various departments within the Council. The role ensures efficient office management, coordination of resources, maintenance of records, and facilitation of administrative systems that contribute to the smooth functioning of Council operations.
The position plays a critical role in ensuring that administrative processes are aligned with Council policies and procedures, while also supporting operational efficiency and service delivery.
DUTIES AND RESPONSIBILITIES
The successful candidate will be expected to perform the following duties:
Office Space and Parking Allocation
Plans and allocates office space to ensure optimal utilization of available facilities. This includes coordinating seating arrangements and managing office relocations where necessary. Additionally, the officer allocates parking spaces in a fair and organized manner, ensuring efficient use of parking facilities.
Office Planning and Refurbishment
Participates in planning, refurbishing, and maintaining Council offices and surrounding grounds. This includes coordinating renovations, ensuring proper office layout, and maintaining a conducive working environment for staff.
Procurement Specifications
Prepares detailed specifications for the acquisition of office furniture, equipment, and domestic requisites. Ensures that all procurement processes comply with established regulations and standards.
Cleanliness and Maintenance Oversight
Monitors the cleanliness of offices and Council grounds. Takes appropriate action to ensure that cleaning standards are maintained at all times, thereby promoting a healthy and professional work environment.
Security Coordination
Ensures that Council offices are adequately secured. Coordinates with security personnel to safeguard Council property, employees, and visitors. Implements measures to enhance safety and minimize risks.
Payroll Administration
Prepares and processes pay sheets for industrial class employees. Ensures accuracy, timeliness, and compliance with payroll procedures and regulations.
Financial Record Management
Maintains and updates commitment ledgers. Ensures that financial records are accurate, up-to-date, and properly documented for accountability and auditing purposes.
General Administrative Support
Provides administrative assistance across departments, including record keeping, filing, and coordination of office activities.
Additional Duties
Undertakes any other related duties as may be assigned by management from time to time, in line with the scope and responsibilities of the position.
