Job Summary:
The Administration Clerk is responsible for providing essential administrative and clerical support to ensure the efficient operation of the office. This role involves handling routine office tasks, maintaining accurate records, assisting with communication, and supporting various departments as needed. Key Responsibilities:

  • Perform general clerical duties, including filing, photocopying, scanning, and data capturing.
  • Maintain and update physical and electronic records, ensuring information is accurate, complete, and easily accessible.
  • Answer incoming calls, direct inquiries to the appropriate departments, and take messages when necessary.
  • Receive, sort, and distribute incoming mail and courier deliveries, and prepare outgoing correspondence.
  • Assist in preparing reports, presentations, and other documents as required.
  • Monitor office supplies and place orders when stock levels are low, ensuring the office runs smoothly at all times.
  • Schedule appointments, meetings, and events, and maintain calendars for staff or departments.
  • Provide administrative support to management and other staff members, including coordinating logistics and handling basic requests.
  • Capture and update data in company systems with accuracy and attention to detail.
  • Ensure compliance with company policies and procedures, particularly regarding document management and confidentiality.
  • Assist with basic financial administration tasks, such as processing invoices, tracking expenses, or preparing payment documentation where required.

REQUIREMENTS : Grade12 or equivalent qualification. Skills and Competencies: Good
communication skills (verbal and written); Computer literacy (MS Office);

DUTIES : Key Performance Areas: Render clerical support services; Provide supply
chain clerical support services within the component; Provide personnel
administration support within the component; Provide financial administration
support services in the component; Provide various administrative duties.

obtained from National School of Government (NSG) is required before
appointment for all SMS positions. Candidate will complete a financial
disclosure form and also be required to undergo a security clearance.
