At our beautiful Safari Hotel and Convention Center, which lies hidden away at the base of the Rustenburg Kloof, we are looking for a highly motivated and organized individual to join our team as a Hotel Reservationist. The ideal applicant will be in charge of quickly responding to any questions from guests regarding reservations, guaranteeing maximum room sales and outstanding client satisfaction.

Requirements :

  • Education and Experience:
    • Matric/ Grade 12/ NQF level 4 or 5 certificate or equivalent
    • Previous experience in hotel reservations or guest services required.
    • Proficiency in using hotel reservation systems and technology, such as Protel or Opera, is advantageous.
  • Skills and Abilities:
    • Strong communication and interpersonal skills to effectively interact with guests and team members.
    • Excellent organisational and multitasking abilities to handle multiple reservation requests in a fast-paced environment.
    • Strong attention to detail with the ability to accurately enter and maintain guest information.
    • Problem-solving skills to resolve guest issues and complaints in a timely manner.
    • Ability to work well under pressure and remain calm during guest concerns.
    • Flexibility to work shifts, weekends, and holidays as required in a 24/7 operation.
  • Customer Service Attitude:
    • Demonstrates a friendly and welcoming demeanour towards all guests.
    • Shows willingness to go above and beyond to meet guests’ expectations.
    • Displays patience and empathy while dealing with challenging customer situations.

Responsibilities (to mention a few) :

  • Reservation Management:
    • Accept and handle requests for reservations made by phone, email, or online reservation platforms (OTAs).
    • Enter reservation information, special requests, and visitor data into the hotel’s reservation system (Protel) with accuracy.
    • Make sure that all information on room pricing, promotions, and facilities is correct and verified.
    • Promote extra services or upgraded accommodations using upselling strategies to boost sales.
    • Verify bookings and notify guests of any changes or cancellations right away.
  • Guest Relations:
    • Resolve any problems or grievances with fast attention to guests in order to deliver outstanding customer service.
    • Consider your visitors’ needs and tailor their stay by recommending things to do, places to eat, and entertainment in the area.
    • Always act with professionalism and courtesy when helping guests with their questions.
    • Work together with other hotel departments to make sure that requests from guests are fulfilled quickly and effectively.
    • Maintaining a secure and welcoming atmosphere for visitors while making ensuring that hotel standards are upheld requires adherence to rules and procedures.
  •  Administrative Tasks:
    • Keep thorough records of all bookings, cancellations, and absences.
    • Maintain an eye on room inventory to minimize overbooking and guarantee that the maximum occupancy is reached.
    • Create and disseminate daily reports and data on revenue, occupancy, and projections for the rooms.
    • Help maintain and update the online reservation system, making sure that the availability and pricing are shown accurately.
