Durban University of Technology (DUT) is situated on South Africa’s balmy east coast. It is spread among seven campuses in Pietermaritzburg, which features rolling hills that cascade from the Drakensberg Mountain, and in tropical, scenic Durban.

Qualifications and Experience :

  • Matric/ Grade 12/ NQF level 4 or 5 certificate or equivalent
  • NQF level 6 qualification in Secretarial/Office Management or related field.
  • Minimum 5 years’ experience in a busy office environment.
  • At least 1 year’s secretarial experience in a tertiary institution (ideal).
  • Knowledge and understanding of the systematically arranged collection of computer data, structured so that it can be automatically retrieved or manipulated.
  • Knowledge of reporting tools and concepts.

Responsibilities (to mention a few) :

  • monitors the Senior Director’s calendar, making sure that the daily agenda and workplan are accurate and that appointments are scheduled efficiently.
  • Types presentations, reports, and letters, taking care of the formatting and layout.
  • Receives, distributes, records, and/or reroutes incoming mail; gives clients background information and/or supporting documents about issues that need attention.
  • arranges meetings and offers assistance by supplying pertinent background data.
  • Delivers documents, memos, reports, and other materials to the Senior Director as instructed.
  • When necessary, offers secretarial support to pertinent meetings, such as the Management Committee.
  • distributes agendas together with pertinent documents; keeps track of, gathers, and distributes meeting minutes.
  • Answers calls and/or screens them in order to provide telephone help.
  • Receives messages and responds to requests for information as needed.
  • Organizes senior director and staff travel and lodging plans in compliance with DUT policies, such as attendance at outside seminars, conferences, etc.
  • Plans events according to the Senior Director’s office specifications.
  • serves as the initial point of contact for questions from the public, industry, employees, and students.
  • helps or reroutes inquiries to the appropriate person or people.
  • greets and holds visitors and guests on behalf of the Senior Director
  • establishes and manages a productive system for information retrieval, record-keeping, and filing.
  • creates and gathers the necessary institutional forms and pro formas.
  • assembles the office budget for the Senior Director’s approval.
  • reports are compiled and coordinated on behalf of the Senior Director’s office.
  • Ensures that staff members are kept fully informed and up to speed on pertinent administrative and staffing processes. Fosters positive relationships with staff, colleagues, and students. Supports teamwork.
