Job Overview
The successful candidate will be responsible for supporting the effective and efficient management of departmental assets. This includes maintaining accurate asset records, ensuring compliance with asset management policies, and assisting in audit processes. The role requires a proactive individual who can maintain high levels of accuracy, accountability, and compliance while working within established systems and procedures.
Key Responsibilities
The Assets Admin Officer will perform a variety of duties to ensure proper asset control and compliance. These include:
- Maintaining accurate records of quarterly asset counts and ensuring all newly acquired assets are properly recorded.
- Managing the asset verification process on an ongoing basis, ensuring that all asset movements are tracked and supported by fully completed movement forms.
- Ensuring the effective, efficient, and economical management of departmental assets.
- Conducting continuous asset verification to identify obsolete, redundant, or damaged items and ensuring proper processes are followed for write-offs and disposal.
- Performing monthly asset spot checks to confirm that the asset register remains accurate and up to date.
- Updating the fixed asset register on the system with all relevant and required information.
- Reconciling the inventory control sheet with the fixed asset register to ensure consistency and accuracy.
- Ensuring that all asset-related documents are properly filed and securely stored.
- Assisting in resolving audit queries related to assets by ensuring completeness and accuracy of information.
- Supporting the preparation of quarterly and annual asset disclosure notes.
- Ensuring compliance with all relevant prescripts, including Supply Chain Management (SCM) policies and the Asset Management Plan.
- Conducting monthly assessments to determine the safety condition of all assets.
- Performing regular inspections to ensure safety compliance within buildings in line with Occupational Health and Safety (OHS) requirements.
- Following up on all OHS-related decisions and ensuring implementation.
- Ensuring ongoing compliance with Health and Safety Regulations.
Minimum Requirements
To be considered for this position, applicants must meet the following requirements:
- A National Senior Certificate (Grade 12) with Accounting as a major subject.
- At least one (1) year of relevant work experience in asset management or administrative processes.
- A sound understanding of administrative procedures and asset management principles.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Strong written and verbal communication skills.
- A valid driver’s license.

Remuneration and Conditions

The appointment is subject to:
- A positive security clearance.

- A six (6) month probation period for permanent appointments.
