- A minimum of one year experience in rendering secretarial, clerical, and administrative support services to Senior Manager.
Duties :
- provides the management with secretarial and receptionist support. Receives calls in a situation where, in addition to calls for the senior management, judgment is needed to select to whom the call should be passed. The person performing the work should wrap up several inquiries during this procedure.
- performs sophisticated typing tasks. operates office machinery and makes sure it’s in proper operating condition, such as fax and photocopy machines. Keep track of the senior manager’s engagements.
- depending on the estimated relevance and urgency of the subject, uses discretion to determine whether to accept/decline or refer to other staff requests for meetings. co-ordinates with the management, informs/advises them of engagements, and creates schedules of appointments that are reasonable. provides administrative support services.
- Ensures the efficient transfer of information and documents to and from the manager’s office. In accordance with applicable laws and rules, ensures the security of all documentation in the manager’s office. gathers data, organizes it, and puts reports together. Management reports, monthly reports, and progress reports.
- Examines standard submissions and reports, making remarks and/or suggestions for the management. provides answers to questions from internal and external stakeholders. writes papers as needed.
- Fill out paperwork as needed for the management and the unit. gathers, evaluates, and compiles data as desired by the management. on behalf of the management, clarifies directions and notes. makes certain that the planning of the trip is efficient. sets priorities for problems at the manager’s office.
- takes care of the unit’s phone and leave records. For the manager’s and the unit’s activities, manages the purchase of standard things like stationery and refreshments, and secures the appropriate signatures on paperwork like procurement advice and monthly salary reports. assistance for meetings for the management.
- Documents are carefully examined to establish the activities, data, and other materials needed for meetings. The manager is informed of the contents via the gathering and compilation of all pertinent papers.
- Maintains a record of the proceedings and decisions, notifies the appropriate players, and monitors the development. Whenever necessary, creates briefing materials for the manager and plans meeting logistics. assistance in managing the manager’s budget on the manager’s behalf.
