REQUIREMENTS:

Duties :

  • Support the Director with secretarial and receptionist services. Receive phone calls and, if not intended for the appropriate senior management, forward them to the appropriate role players. Put events and appointments in the calendar. For the senior manager and other unit employees, type papers.
  • Use office tools like the photocopier and fax machine. assist the senior manager with clerical tasks. Make contact with travel companies to plan your trip. When pertinent documents are received, verify the arrangements. Plan gatherings and activities for the unit’s top management and employees. determines locations, invites actors, plans refreshments, and prepares for events and meetings that are arranged.
  • Prepare the unit’s travel and maintenance claims. Process each and every invoice resulting from the senior manager’s job. When necessary, take brief minutes during senior management meetings. Write routine letters and reports. When required, file paperwork for the senior management and the unit. administer things like phone accounts and leaving registers.
  • Take all incoming and departing papers, record them, and distribute them. Manage the purchase of typical products like office supplies, drinks, etc. Gather the necessary information so the director can be ready for meetings. Keep abreast on the rules, regulations, and policies that apply to her or his workplace in order to provide the senior manager with effective and efficient support.
  • To make sure that the application of the applicable Public Service and departmental prescripts/policies and other documents is understood appropriately. Keep up with the policies and procedures that govern the senior manager’s office.

Duties :

  • Provide general administrative support services. Correspondence and data should be recorded, organized, stored, captured, and retrieved (line function). Update statistics and records. Answer common questions. Create photocopies, get facsimiles, and send them. As needed, distribute papers and packages to appropriate parties. Keep the component’s file system up to date. When necessary, type letters and/or other correspondence.
  • Keep track of the component’s incoming and outgoing document register. creating and taking minutes. Offer administrative assistance for the supply chain inside the component. Maintain communication with internal and external stakeholders on the purchase of products and services. For the purchase of common office supplies, get quotes and fill out the appropriate papers. control over office supplies inventory. Keep a copy of the component’s asset registration.
  • Within the component, offer clerical support services for personnel administration. Maintain the component’s leave registration. Keep and update the component’s personnel records. Keep a copy of the component’s attendance record. Make travel and lodging arrangements. Give the component support services for financial administration. Record and update the component’s spending. Verify the accuracy of the officials’ travel and subsistence claims before submitting them to the manager for approval. Take care of the component’s petty cash and phone accounts.
